Modernizing Bookkeeping and Payroll
I think there is a lot of pressure right now to present AI as a complete solution for bookkeeping and payroll, but in many cases, it is not yet fully ready. Small businesses often start from very different situations. Some systems are organized, some are set up incorrectly and some have never really been set up at all. Each situation requires a different approach.
AI is becoming very good at processing data and identifying trends, but it still struggles to understand and correct the complex mistakes people can create over time. Business owners are often sold systems that are supposed to be “easy,” but a basic level of financial understanding is still required to use them effectively.
I think AI can be a useful tool, but business owners should still take the time to understand the fundamentals of how their finances work and what their numbers actually mean. Most entrepreneurs start businesses because they are passionate about a product or service, not because they love bookkeeping or payroll. Sometimes the smartest investment is using tools and specialists that allow you to focus on the part of the business you do best.
Leadership Lessons for Client Success
One of the biggest lessons I’ve learned is that small business owners are driven people. They usually have a clear vision of what they want to accomplish and my role is not to dictate to them, but to guide and support them.
I’ve learned over the years that helping people understand the reasoning behind a recommendation is far more effective than simply telling them what to do. Financial rules and regulations are not always black-and-white and there are often multiple ways to approach a situation. When business owners understand why something matters and how it affects their company, they can make more confident, informed decisions.
Balancing Accuracy and Efficiency
A lot of this starts with planning early. Businesses should think about where they want to be in two, five, or even ten years and build systems that can grow with them.
For example, if a company plans to expand into multiple locations or sales channels, it should structure its financial tracking from the beginning so it can easily separate and understand those areas later. Taking the time to organize things properly upfront prevents major problems down the road.

A strong foundation allows business owners to focus on growth without losing clarity in their numbers.
Operational efficiency is critical for small businesses because every dollar matters. Constantly rebuilding financial systems while trying to grow creates confusion and wastes valuable time. A strong foundation allows business owners to focus on growth without losing clarity in their numbers.
Common Small Business Challenges
One of the biggest challenges is simply trying to do everything alone. Most entrepreneurs are experts in their own field, but that does not automatically mean they are experts in payroll, bookkeeping, or taxes.
Many business owners delay getting help until they begin receiving notices from the IRS or state agencies and those letters can feel overwhelming. By that point, the stress level is already high.
The better approach is to establish good systems early and budget for the right support, even if it is only part-time or fractional help. Spending hours struggling with tasks outside your expertise often takes time away from the work that actually grows your business. Having knowledgeable support in place improves accuracy and allows owners to focus on what they do best.
Building Strong Financial Practices
Entrepreneurs are usually successful because they are talented at creating, selling, or building something valuable. My advice is to spend as much time as possible focusing on those strengths while recognizing that you may not have the time or expertise to handle every aspect of financial management yourself.
Asking for help is not a weakness. One of the things I used to tell my students was that the only bad question is the one you never ask, because that is the one you never learn from.
No one can do everything alone and there are only so many hours in a day. Finding trustworthy people and systems to support your business is one of the smartest investments you can make, both for your company's growth and for maintaining a healthy quality of life.
